Transforming Care Management with Ravanty and Microsoft 365 Copilot

Care management transformation with Microsoft Information Protection & Governance, Microsoft 365 Copilot, and Adoption & Change Management in 11 Weeks.

Executive Summary

Client, a leader in managed care solutions, embarked on a transformative journey to modernize its data governance and prepare for the responsible adoption of Microsoft 365 Copilot. With over 1,400 users and vast amount of data across SharePoint sites, Client faced a high-stakes decision: how to unlock the power of AI while maintaining strict control over sensitive data.

To meet this objective, Client partnered with Ravanty, a Microsoft-designated Cloud Solution Provider for their deep technical expertise, structured delivery methodology, and people-first approach to change. Together, Client and Ravanty launched a comprehensive 11-week engagement that combined technical readiness, AI governance, and organizational enablement - backed by Microsoft’s End Customer Investment Funds (ECIF) funding and investments from Ravanty.

The Opportunity

The Opportunity

Client approached this initiative with a clear and ambitious goal: to responsibly harness the power of Microsoft 365 Copilot to enhance productivity, streamline operations, and elevate the quality of its care management services. Recognizing the transformative potential of AI, Client sought to ensure that its deployment would be secure, compliant, and aligned with the organization’s values and workflows.

To do this effectively, Client prioritized several foundational objectives:

  • Establishing additional security and governance in their data landscape to ensure Copilot could operate within clearly defined boundaries and access only appropriate content.
  • Introducing Microsoft Purview and SharePoint Advanced Managementto classify sensitive data, enforce labeling policies, and reduce oversharing risks. Additionally, Ravanty applied advanced value-added services in the Discovery phase, to provide deeper visibility into Client’s Data landscape and how organization interacts with corporate data.
  • Launching a structured Copilot pilot programfocused on high-value scenarios across pilot SharePoint sites and pilot group of users, enabling targeted evaluation and feedback.
  • Preparing the workforce for AI adoptionthrough tailored training, communications, and change management—ensuring users felt confident, informed, and supported.

This proactive and strategic approach positioned Client not only to adopt Copilot safely, but to do so in a way that maximized business impact and empowered its people.

The Thought Process: Building a Secure AI Foundation

Client and Ravanty began with a shared understanding: AI is only as powerful as the data it can access, and only as safe as the governance that surrounds it. This insight shaped every decision in the project.

Rather than rushing into a Copilot deployment, Ravanty guided Client through a deliberate, phased approach using its proven IDARE framework:

  1. Ideate (I): Align on objectives, goals, risks, and success criteria.
  2. Discover (D): Assess the current environment, identify gaps, and gather stakeholder input.
  3. Architect (A): Design a secure, scalable solution for data protection and Copilot readiness.
  4. Rollout (R): Implement policies, test configurations, and deploy to pilot users.
  5. Emerge (E): Support adoption, train admins, and define the roadmap for enterprise rollout.

Ravanty’s implementation framework ensured that every technical decision was grounded in business context and that every user touchpoint was supported by thoughtful change management.

Technical Readiness: Securing the Data Landscape

Ravanty’s technical team began with a deep discovery phase, leveraging AvePoint Policies & Insights to scan Client’s entire Microsoft 365 data landscape. This included SharePoint, OneDrive, and Teams environments. The team identified potential AI-pertinent oversharing scenarios, validated Entra ID and Conditional Access configurations, and ran a Data Security Posture Management (DSPM) assessment to evaluate AI readiness.

  • From there, Ravanty designed a robust security and compliance architecture using Microsoft Purview. This included custom sensitivity labels, Sensitive Information Types (SITs) or trainable classifiers, Data Loss Prevention (DLP) policies, SharePoint Advanced Management configurations to restrict Copilot access.
  • During rollout, Ravanty implemented these controls across targeted SharePoint sites and pilot users. They enabled Restricted Content Discovery and SharePoint Search to limit Copilot’s visibility, tested all configurations in simulation mode, and validated compliance against pilot data.
  • The Emerge phase included four weeks of pilot support, admin training sessions, and a formal production rollout plan - ensuring that Client could scale securely and confidently.

Copilot Enablement: Responsible AI by Design

Copilot was not treated as a feature - it was treated as a transformation. Ravanty worked closely with Client to ensure that Copilot would only access data in a properly governed, labeled, and secure manner.

Key Copilot-specific activities included:

  • Running the M365 Copilot Optimization Assessment
  • Identifying SharePoint sites for Copilot search enablement
  • Implementing Restricted Content Discovery and SharePoint Search Restrictions
  • Designing and deploying policies to prevent Copilot from accessing overshared or unclassified content
  • Testing Copilot functionality in a secure, containerized environment

This approach allowed Client to evaluate Copilot’s capabilities with confidence - knowing that sensitive data was protected and that AI outputs would be trustworthy.

Empowering the People:

Adoption & Change Management (ACM)

In parallel, Ravanty’s ACM team led a comprehensive change enablement program. This included:

The Human and Business Impact of Copilot at the Client's Organization

While the technical readiness and governance controls were foundational, the true transformation at Client emerged through the human experience—how Microsoft Copilot reshaped the way people worked, collaborated, and delivered care.

Empowering People, Not Just Processes

At its core, Client’s mission is to deliver exceptional care management services. That mission depends on people; clinical teams, operations managers, HR professionals, and IT staff, working efficiently, communicating clearly, and making informed decisions. Copilot became a catalyst for this transformation.

Across departments, Copilot helped reduce cognitive load, eliminate repetitive tasks, and unlock time for higher-value work. For example:

  • Clinical operations staff used Copilot to summarize meetings, draft departmental presentations, and extract insights from Excel-based outcome tracking—freeing up hours each week to focus on patient care coordination.
  • HR teams leveraged Copilot to streamline the creation of SOPs, job descriptions, and internal communications—improving clarity and consistency while accelerating delivery.
  • Marketing and business development teams used Copilot to generate competitive analysis, design PowerPoint layouts, and draft research for proposal content—reducing reliance on external consultants and speeding up go-to-market efforts.
  • IT and data analysts used Copilot to synthesize ticket trends, automate reporting, and generate visual dashboards—turning raw data into actionable insights faster than ever before.

These weren’t abstract benefits - they were measurable. According to Copilot reports, the pilot program resulted in:

  • 2,535 meeting recap actions
  • 537 meeting summarize actions
  • 299 document prompts
  • 241 analysis prompts
  • 898 email drafts generated
  • 4,662 prompts in Copilot Chat
  • 11,547 Total Actions

747 Copilot Assisted Hours and an estimated $53,784 in Copilot Assisted Value within the pilot window.

These changes weren’t just about efficiency; they were about reclaiming time for deep work, strategic thinking, and patient-focused initiatives.

RAI: Building Trust in AI Through Responsible Enablement

Client’s approach to Copilot pilot rollout wasn’t just about deploying a tool—it was about building trust. Through a Responsible AI (RAI) framework, Ravanty helped Client address concerns around data privacy, model transparency, and ethical use. This was especially important for clinical teams handling sensitive information.

By implementing data security controls, addressing considerations around Copilot’s access to overshared content, and providing clear guidance on how Copilot works (and what it doesn’t do), Client created a safe space for experimentation and learning.

The result? A cultural shift. Employees moved from skepticism to curiosity, from hesitation to advocacy.

Training webinars had over 300 participants. 46 members joined the AI Center of Excellence, and usage analytics showed sustained engagement across roles and departments.

Transforming Care Management Through AI

Ultimately, the impact of Copilot at Client is best understood through its alignment with the company’s core mission: improving outcomes for injured workers and their families.

By reducing administrative burden, accelerating documentation, and improving communication, Copilot enabled Client’s teams to spend more time on what matters most—delivering compassionate, coordinated care.

Whether it was a case manager using Copilot to summarize a complex care plan, or a billing associate generating professional responses to provider inquiries, the human impact was clear: less time spent searching, formatting, and writing—more time spent thinking, connecting, and caring.

The Results

By the end of the 11-week engagement, Client had achieved:
